Welcome to this platform. These Terms and Conditions (“Terms”) govern your use of the website and services provided by Timesheet Tracker (“we,” “us,” or “our”). By accessing or using our services, you agree to be bound by these Terms. If you do not agree with any part of these Terms, you must not use our services.

1. Description of Services

We provide a subscription-based service that offers access to a Web App for efficient Time Management for Modern Businesses. Our services are primarily focused on Small to Medium Sized Businesses and Enterprises. We offer the following subscription plans:

Starter Plan: An entry-level subscription providing access to below features to the customer:

  • Manage upto 25 Employees
  • Create 5 Projects, 15 Tasks
  • Full Timesheet and Leave Management
  • Admin, Manager and Employee Dashboard
  • Project and Task Management
  • Holiday and leave
  • Policy Configuration
  • Standard Reporting
  • Standard Email Support

Stable Plan: An upgraded subscription offering all the features of the Starter Plan plus:

  • 15 days trial + Everything from Starter Plan
  • Manage upto 1000 Employees
  • Unlimited Projects and Tasks
  • Report Exporting to CSV
  • System and User Audit Logs
  • Bulk User Onboarding
  • Team leave Calendar View
  • Priority Support

Supreme Plan: A custom-tailored, premium service. Access to this plan is available by contacting us directly to discuss your specific needs and pricing.

2. Subscription and Billing

2.1. Subscription Plans

  • Subscriptions are billed on a monthly basis, starting from the date of your initial payment.

  • Your subscription will automatically renew at the end of each billing cycle unless you cancel it.

  • The fees for our services are listed on our website and may be subject to change. We will notify you of any price changes in advance.

2.2. Plan Upgrades/Downgrades

You may upgrade your subscription from the Starter Plan to the Stable Plan at any time. Please note that downgrading from the Stable Plan to the Starter Plan is not permitted.

2.3. Trial Period

We offer a one-time, 15-day free trial of the Stable Plan to new users. You will have full access to the Stable Plan’s features during this period. To avoid being charged, you must cancel your subscription before the trial ends. If you do not cancel, your trial will automatically convert to a paid Stable Plan subscription, and your provided payment method will be charged the monthly fee. Please note that during the trial period, your subscription is considered to be a Stable Plan, and you will not be able to downgrade to the Starter Plan.

2.4. Cancellation

You can cancel your subscription at any time through your account settings. Your subscription will remain active until the end of your current billing period, and you will not be charged for the next period. We do not provide refunds or credits for any partial months of service.

2.5. Payment

You agree to provide us with valid and up-to-date payment information. By providing your payment details, you authorize us to charge your selected payment method for the subscription fees and any applicable taxes. We utilize secure third-party payment processors to handle your payment transactions. By proceeding with a payment, you acknowledge and agree to the terms and conditions and privacy policies of these payment processors. Please note that we do not directly store your full payment card details on our servers. If a payment fails, we reserve the right to suspend or terminate your access to the service.

3. User Accounts

  • You must be at least 18 years old to create an account.

  • You are responsible for maintaining the confidentiality of your account information, including your password. You are responsible for all activities that occur under your account.

  • You agree to notify us immediately of any unauthorized use of your account.

4. User Conduct

You agree to use our services only for lawful purposes. Prohibited actions include:

    • Violating any applicable laws or regulations.

    • Infringing upon our intellectual property rights or the rights of others.

    • Harassing or threatening other users.

    • Interfering with the operation of our website or services.

5. Data Usage, Storage, and Security

5.1. How Your Data is Used

We collect and use your data primarily to provide, maintain, and improve the Timesheet Tracker services. This includes:

  • Service Provision: Processing your time entries, leave requests, managing user roles (Admin, Manager, Employee), and generating reports.
  • Account Management: Authenticating users, managing subscriptions, and providing customer support.
  • Service Improvement: Analyzing usage patterns to enhance features and user experience.
  • Security and Compliance: Monitoring for unauthorized access, maintaining system integrity, and fulfilling legal obligations.

5.2. Data Storage and Access

Your organization’s data is stored in a secure, multi-tenant environment. This means your data is logically separated and protected from other organizations’ data.

  • Types of Data Stored: This includes, but is not limited to, user profiles (e.g., name, email, role, hire date), organization details, project and task information, time entries, leave requests, leave balances, and configuration settings (e.g., leave policies, holiday schedules).
  • Access to Data: Our application’s backend services access this data to process your requests and deliver the service functionalities. Access to your data by our personnel is strictly controlled, limited to authorized individuals, and only for purposes necessary to provide support, maintain the service, or comply with legal requirements.
  • Activity Logs: For system integrity, security, and compliance purposes, we maintain logs of significant user and system actions. These logs are periodically purged to optimize performance.

5.3. Data Security Measures

We implement a variety of security measures to protect your information, including:

  • Access Controls: Strict role-based access controls ensure that users can only access data relevant to their permissions within their organization.
  • Data Separation: Our architecture ensures logical separation and protection of data between organizations.
  • Encryption: Data is encrypted in transit (e.g., using SSL/TLS) to protect it during communication between your browser and our servers. We continuously review and update our security practices to include appropriate encryption for data at rest where feasible.

In no event shall we be liable for any indirect, incidental, special, or consequential damages arising out of or in connection with your use of our services.

10. Governing Law

These Terms shall be governed by and construed in accordance with the laws of India.
